In my own workflow, my witnesses are other notaries nearly every time. That is intentional.

The witness team is part of the client experience

When I coordinate witnesses for an estate plan signing ceremony, the first question is never just "can this person show up." Availability is only the beginning.

❓ Are they professional?

❓ Are they trustworthy?

❓ Will they arrive dressed appropriately for the setting?

❓ Can they follow instructions?

❓ Can they remain patient if the client has questions and the attorney needs time to answer?

❓ Can they stay present, without checking their phone, rushing the appointment, or starting side conversations?

Those things matter. Estate plan signing ceremonies often involve sensitive family conversations, private decisions, health concerns, asset discussions, and documents that may directly affect a family's future. That room requires discretion. What is said at the table should stay at the table.

Why notaries, specifically

Not every witness needs to be a notary. But it is one reason I prefer working with other commissioned notaries as witnesses.

Commissioned notaries already understand the seriousness of identity, signatures, documents, and professional boundaries in client-facing work. They understand this is not a casual appointment, and they are not just two people filling chairs. It is a signing environment that should feel calm, professional, and properly supported.

What coordination is actually protecting

When an attorney trusts me to coordinate witnesses for an estate plan signing, the goal is not just making sure two people arrive. The goal is protecting the tone, privacy, and professionalism of the appointment.

The client experience does not stop with the attorney. It includes everyone invited into the room.

That is the difference between filling chairs and protecting the room.
